Welcome to use CamCard Business, which is provided by INTSIG Information Co., Ltd. (hereinafter referred to as “we”). We are committed to protecting the privacy of your data. This Privacy Policy explains what information CamCard Business collects, uses, and discloses about you when you access or use our websites and applications (collectively, “Our Services”).

1. What data do we collect?

If you, as an end user, use an account to join an enterprise and use CamCard Business as a member of that enterprise, we will, in accordance with the configuration and instructions of your enterprise’s administrator, process the data you submit or generate during use in our capacity as a data processor. Such data may include: the business card information of yourself or others that you scan, store, read, manage, or edit, and the resulting operation records and behavior logs. Control over the above data belongs to the enterprise customer; we process such data only on the lawful instructions of the enterprise customer and will not use it for any purpose beyond the agreed scope. If you have questions about how the enterprise-customer-controlled data is processed, please consult your enterprise’s administrator or data protection officer.

There are three basic categories of data we collect:

(a) Information that you voluntarily provide to us

Registration and login information. When you create your account for registering to use Our Services, depending on how you choose to create it, we may collect your password, e-mail address or phone number to create account and login. In addition, when you log in to your account, we collect your login data. If you log in with a third-party account, we may collect the third-party account information you actively associate (Google, Facebook).

User-generated content. When you use Our Services to scan, store, read, manage, or edit the business card information of yourself or others, we will collect the relevant business card information you enter, including: avatar, name, job title, company, mobile number, contact address, email, third-party social account data, resume data, work experience, and business card photo. Please note that, for the business cards of others that you manage, we provide you only with storage, technical processing (such as for OCR-recognition purposes), and management services, thereby processing the business card information of others in your or your entity’s card holder.

Input content. When you use the AI voice-to-text feature, we collect your voice input or the audio files you upload. Before you input or upload, we will ask whether you consent to microphone authorization; only after obtaining your consent can we provide you with the AI voice-to-text feature.

Transaction information. If you purchase the paid services provided by us, we may receive information about your transaction such as when it was made or when a subscription is set to expire.

Contact information. We may record your e-mail address when you contact us for service support, making a complaint, suggestion or feedback to us by sending emails to help us keep contact with you for updates and support to resolve your queries for use of our Services.

Help and feedback data. When you submit help and feedback through the page, we collect the content of your help requests and feedback, including text, images, and contact information, to help resolve your issues and feedback.

(b) Information that is collected automatically

Device data. We collect information about the device you use to access Our Services, such as your device data (browser type, device model, CPU, system language, memory, operating system version, WiFi status, timestamp and region, device motion parameters, carrier), unique device identifiers (IDFA, MEID, Android ID, MAC address, device hardware serial number, and unique identifiers obtained through algorithms), network behavior trajectory (number of clicks, duration of use), access date and time, and service log data.

Location data. When you use Our Services, we may infer the general physical location and geographic area of your device based on your Wi-Fi, Bluetooth, and other device settings. For example, your IP address may indicate your approximate geographic area. With your permission, we may collect the location of your mobile device. You can choose not to share your detailed location data with us by adjusting the location-services settings on your mobile or desktop device. For instructions on changing these settings, please contact your service provider or device manufacturer.

Information Collected Using Cookies. Like many website owners and operators, we use automated data collection tools such as Cookies to collect certain information.

(c) Data we get from third parties.

Social Media and Login Services. If you choose to sign in using third-party social networks or services (such as Facebook), we may collect information from those services, including your login or registration information for those services.

Information Received from Our Partners and Other Third Parties. We may link your subscription information with the data information we receive from our partners or other third parties (such as Firebase provided by Google) to help smoothly facilitate Our Services for you, to better understand your needs and to provide you with better Services experience. Use of information received from Google APIs will adhere to the  Google API Services User Data Policy, including the Limited Use requirements.

Other Sources. To help you keep the business card information you manage accurate and complete, we may refer to publicly available information on public platforms and prompt you when there is updatable content for your business card. When you use the AI Insights feature, based on the questions you input, we also retrieve enterprise information from publicly available channels in real time, in order to present you with more timely reference content.

2. How we use your data?

(a) Registration, login, and profile management

Data types involved:

Purpose of processing: For user registration, account creation and login; and for profile management.

Legal basis: Necessary for the performance of the contract between CamCard Business and the user for the purpose of creating a profile and providing products/services (only in relevant jurisdictions).

Retention period: Registration data is retained until the account is deleted, or until the CamCard Business account is unbound from the Google or Facebook account, whichever is earlier. Login data is retained for 3 months from the date of login. Profile data is retained until the account is deleted or until the account is unbound, whichever is earlier.

(b) Creating and editing your own business card

Data types involved: Avatar, name, job title, company, mobile number, contact address, email, third-party social account data, résumé data, work experience, business card photo.

Purpose of processing: To edit your own business card so that you can conveniently display or share your information.

Legal basis: Necessary for the performance of the CamCard Business product/service contract (only in relevant jurisdictions).

Retention period: Until you actively delete it or delete your account, whichever is earlier.

(c) Sharing your own business card

Data types involved: The business card content you edit and fill in under (a) above. When you share your card by email, SMS, or other means our product provides, this also involves the recipient’s name, contact details (email or mobile number, etc.), and message content.

Purpose of processing: To facilitate sharing your business card information with individuals you designate.

Legal basis: Necessary for the performance of the CamCard Business product/service contract (only in relevant jurisdictions).

Retention period: Until you request data deletion or delete your account, whichever is earlier.

(d) Business card export feature

Data types involved:

Purpose of processing: Based on your entrustment and under your instruction, to assist you in syncing your card-holder information to your bound third-party account, or exporting it as Excel to your designated email or mobile phone.

Legal basis: Necessary for the performance of the CamCard Business product/service contract (only in relevant jurisdictions).

Retention period: Until you actively unbind the third-party account or delete your account, whichever is earlier.

(e) Email template editing and video-meeting card display

Data types involved:

Email template content: name, email content.

Meeting card content: name, job title, company, QR code.

Purpose of processing: To assist you in generating an email signature or meeting card, and to display the email signature or meeting card.

Legal basis: Necessary for the performance of the CamCard Business product/service contract (only in relevant jurisdictions).

Retention period: Until you request data deletion or delete your account, whichever is earlier.

(f) Order status confirmation and user dispute handling

Data types involved: Order data, transaction status.

Purpose of processing: For order status confirmation and user dispute handling.

Legal basis: Necessary for the performance of the CamCard Business product/service contract (only in relevant jurisdictions).

Retention period: Until you request data deletion or delete your account, whichever is earlier.

(g) Issue analysis, traffic statistics, and account security

Data types involved: Device data (browser type, device model, CPU, system language, memory, operating system version, WiFi status, timestamp and region, device motion parameters, carrier), unique device identifiers (IDFA, MEID, Android ID, MAC address, device hardware serial number, unique identifiers obtained through algorithms), network behavior trajectory (number of clicks, duration of use), access date and time, and service log data.

Purpose of processing: For issue analysis, traffic statistics, identifying potential risks, and more accurately preventing fraud and safeguarding account security.

Legal basis: Necessary for the performance of the CamCard Business product/service contract (only in relevant jurisdictions) and for our legitimate interests.

Retention period: Until you request data deletion or delete your account, whichever is earlier.

(h) Inviting colleagues and employees

Data types involved: Inviter’s contact details (such as WeChat, mobile number, email), invitee’s contact details (such as email), and invitation content.

Purpose of processing: To invite colleagues and employees.

Legal basis: Necessary for the performance of the CamCard Business product/service contract (only in relevant jurisdictions).

Retention period: Until you request data deletion or delete your account, whichever is earlier.

(i)  AI voice transcription

Data types involved: Voice input content or audio files uploaded by the user.

Purpose of processing: For AI to transcribe voice into data.

Legal basis: Necessary for the performance of the CamCard Business product/service contract (only in relevant jurisdictions).

Retention period: Until you actively delete the recordings you entered or delete your account, whichever is earlier.

(j) AI Insights feature

Data types involved: Your input content and the card information you follow.

Purpose of processing: Based on your input, to assist you in retrieving public information about the name of a card-related individual you have collected, or about their company.

Legal basis: Necessary for the performance of the CamCard Business product/service contract (only in relevant jurisdictions).

Retention period: Until you request data deletion or delete your account, whichever is earlier.

(k) Help and feedback

Data types involved: Help and feedback content, including text and contact information.

Purpose of processing: For seeking help and giving feedback on issues.

Legal basis: Necessary for the performance of the CamCard Business product/service contract (only in relevant jurisdictions).

Retention period: Until you request data deletion or delete your account, whichever is earlier.

(l) Email contact

Data types involved: Real name, company, department, job title, and content sent.

Purpose of processing: For email contact.

Legal basis: Necessary for the performance of the CamCard Business product/service contract (only in relevant jurisdictions).

Retention period: Until you request data deletion or delete your account, whichever is earlier.

3. Enterprise-Customer-Controlled Data That Enterprise Customers Entrust Us to Process

3.1 Scope of enterprise-customer-controlled data

If you, as an end user, use a CamCard Business account and join the enterprise you belong to, and use CamCard Business as a member of the enterprise customer to manage business cards, we will, in accordance with the configuration, operations, and instructions of your enterprise customer’s administrator, record the data generated during your use of CamCard Business (the “enterprise-customer-controlled data”). Enterprise-customer-controlled data may include:

(a) Information assigned to you by the enterprise customer, including: job title, department, and supervisor;

(b) The business card data of others you enter through CamCard Business, including:

3.2 Control over data from personal use of an enterprise account

All data generated by your login and use of the enterprise account assigned to you by your enterprise for work purposes belongs to enterprise-customer-controlled data. You fully understand the work nature of the enterprise account and should avoid independently using the enterprise account to upload, enter, publish, transmit, or share personal data; you may not deny the enterprise customer’s control over the data of that enterprise account on the basis of such independent operations.

3.3 Processing of enterprise-customer-controlled data

For enterprise-customer-controlled data, the enterprise customer is responsible for informing the relevant end user of the purpose, manner, and scope of the collection and use of personal information. If you have questions about the relevant content or wish to assert your personal information rights, you acknowledge and understand that you should contact the enterprise customer or administrator. You understand and agree that the enterprise customer is the controller of the enterprise-customer-controlled data, and we only process the enterprise-customer-controlled data on the administrator’s entrusted instructions.

Before collecting data, the enterprise customer should ensure that it collects only the end-user data necessary to achieve its business operation and management purposes, has fully informed the end user of the purpose, scope, and manner of the relevant data collection, and has obtained the end user’s authorization and consent.

The end user understands and agrees that the enterprise customer has the right to process your personal data where necessary to enter into or perform a contract to which you are a party, or as required by laws and regulations, including by entrusting us to process the end user’s personal data, on a reasonably necessary basis, within the purpose and scope of opening, managing, and using CamCard Business services under the administrator account to achieve unified business card management.

4. Security of Your Data

4.1 We attach great importance to the security of your data and have adopted standard industry practices to protect your data and prevent it from unauthorized access, disclosure, use, modification, damage, or loss. We have obtained DJCP, ISO/IEC 27001, ISO/IEC 20000, ISO/IEC 9001, CMMI V3.0 Level 5, and ISO/IEC 27701 certifications, ensuring that your data receives the highest standard of protection. We employ administrative, technical, and physical security controls where appropriate, such as encryption, 2-step verification, and strict contractual confidentiality obligations for employees and contractors.

4.2 If any data incident occurs, We will notify you, pursuant to relevant legal and regulatory requirements, of the basic data about the security incident and its possible impact, measures that We has taken or will take, suggestions about active defense and risk mitigation, and remedial measures. The notification may take the form of an email, text message, push notification, etc. If it is difficult to notify data subjects one by one, we will take appropriate and effective measures to release a Security Notice. In addition, we will also report the handling status of data security incidents as required by supervisory authorities.

4.3 We pay high level to attention to your data security and specially have a commission of data security, which leads and coordinates relevant departments in processing data security and inspects the risk level of data security on a periodical basis; in the meanwhile, the head of the commission will be the Data Protection Officer whose duty includes guarantee of our company-wide performance in fulfilling the commitment of data security, etc. You can contact our Data Protection Officer via email at support@intsig.com.

5. How We Store Your Personal Data

5.1 We will collect, store, and use your personal data in accordance with this Privacy Policy and applicable laws, wherever it is processed.

5.2 When you use Our Services on your devices, your data may be stored locally on the devices you use to access Our Services. When you sync your Devices with our Service, such data will be replicated on our servers maintained by us for processing and storage.

CamCard Business is a global platform. Depending on the scope of your interaction with CamCard Business services, your personal data may be stored in multiple countries/regions. For example, if you are a US user, your personal data is stored in the United States. When we transfer personal data to other jurisdictions, we will ensure that the data transfer complies with this Privacy Statement and applicable data protection laws.

5.3 We retain your data for no longer than is necessary for the purposes stated in this Privacy Policy. Once the retention period expires, we will delete or anonymize your data, unless otherwise required by applicable laws and regulations.

6. How We Share Your Personal Data

We do not share your data with other companies, organizations and individuals unless one of the following circumstances applies or you have consented to such sharing. We share your data with selected recipients only where reasonably necessary; such recipients include:

(a) Sharing with our affiliates. We share your personal data within our corporate group in order to provide CamCard Business to you and to help us achieve the purposes described in the section “How we collect and use personal data?” above.

(b) Sharing with third parties. Our services may contain third-party content and integrations (“Third-party Services”) to provide you with better service. We will only share your information in the following situations, and then only the minimum information necessary:

We share your information with service providers who process data on our behalf to perform services related to our Services. For example: Stripe payments, to complete your payment transactions when you pay for the paid services provided by us;

We share your information with software development kit (SDK) providers to operate, develop, and improve the features and functionality of Our Services. For example: Firebase (analytics and reporting services provided by Google) to assist us in analyzing how Our Services are used.

(c) Business transfer. As our business continues to develop, we may sell or acquire other businesses or services. In such transactions, personal data is generally one of the transferred business assets, but remains subject to the commitments made in any pre-existing privacy policy (unless you otherwise consent). In addition, in the rare event that CamCard Business or substantially all of its assets are acquired, your data will of course also be one of the transferred assets.

(d) Government, public-sector, regulatory, judicial, and law-enforcement bodies or authorities. In certain circumstances, we are required by law to disclose your data, including (i) to comply with a legal obligation or request, such as a court order, subpoena, or other legal process; (ii) to enforce our terms; (iii) to address matters relating to safety or fraud; or (iv) in an emergency involving a risk of death, serious physical injury, or any risk of harm to a child.

To protect the security of your data, we encourage you to review the privacy policies of every Third-party Service that you visit or use, including those third parties you interact with through our services. We will ensure that the lawfulness of this sharing and sign stringent non-disclosure agreements (NDAs) and/or data processing clauses with the parties with whom the data is shared, requiring them to comply with this Privacy Policy and take appropriate confidentiality and security measures when processing the data.

7. What Are Your Rights And Choices

You can control and manage your data, you have the following rights and choices:

(a) Access, Correction, and Portability. You can access and edit most of your basic account data right in CamCard Business. If you would like us to correct personal data that you cannot correct using your own account, please contact us. If we agree to correct your personal data, we will take reasonable steps to notify any third party to whom we have disclosed the relevant personal data, so that they can also correct it. You have the right to receive a copy of certain of your data in a structured, commonly used and machine-readable format. If you need to do so, please contact us. You also have the right to request that we transfer this personal data to another party. If you wish us to transfer personal data to a third party, please ensure that you provide the details of such third party. Please note that we can only carry out such a transfer where it is technically feasible. After the third party receives the personal data, we are no longer responsible for its security or its processing.

(b) Withdraw your consent. In most cases, if you let us use your data, you can simply revoke your permission by changing the settings in the app or on your device if your device offers those options. Of course, if you do that, certain services may lose full functionality. Many CamCard Business services include settings that let you control how your data is used. You may choose not to provide certain data, but you may then be unable to use certain CamCard Business services.

Account data: if you want to add, update, or delete data associated with your account, please do so via the relevant “Personal Center” pages; if this cannot be done through those pages, please contact us. When you update or delete any data, we generally retain a copy of the previous version for record-keeping.

Notifications: if you do not wish to receive our in-app notifications, please adjust your notification settings in the app or on your device.

Cookie preferences: you can manage Cookies through your browser settings. The “Help” function on most browsers and devices will tell you how to delete Cookies from your device, how to block your browser or device from accepting new Cookies, how to have your browser notify you when you receive a new Cookie, and how to disable Cookies altogether.

(c) Deletion. If for some reason you ever want to delete your account, you can contact us. You can also delete some information in the app, like business cards you’ve uploaded to CamCard Business.

You may request that we delete the data we hold about you where: (i) you believe that it is no longer necessary for us to hold your data; (ii) we obtained your consent to process the data and you withdraw that consent (and we have no other valid legal grounds for processing the data); (iii) you believe we are unlawfully processing your data; or (iv) you are or were under the age of 18 (or such applicable age of majority under relevant local laws) when we collected the data and we can verify this.

If we have a strong legal basis (for example, for the defense of legal claims, freedom of expression, or another legal obligation), we may retain personal data; but if that is the case, we will notify you.

If you have requested that we delete personal data that you have made public, and there is a lawful ground for deletion, we will take reasonable steps to notify any third party to whom we have disclosed the relevant personal data, so that they can also delete it.

(d) Restrict processing. If you want to restrict the processing of your personal data, please contact us. You have the right to restrict the processing of your data under the following circumstances: (i) your data is unlawfully processed, but you do not want to erase it; (ii) you have a legal claim that you need to establish, exercise, or defend, and you requested us to keep your data when we would not otherwise keep it; your request for objection is pending our verification process; or (iii) you have contested the accuracy of your personal data, and the accuracy of your data is pending our verification process.

8. How We Process Children’s Data

Our products are commercial products and, in principle, are not intended for minors (we consider children to be individuals under the age of 18, or the equivalent age specified by law in your jurisdiction). If you are a minor, you must obtain the consent of your parent/legal guardian in advance. 9. Cookies and Tracking Technologies

Our websites and apps use small files called Cookies, as well as similar technologies such as Pixel Tags and Web Beacons. Details about how we use Cookies and related technologies, and their purposes, are as follows:

Our Cookies enable you to use features available after logging in, such as business card management. Disabling certain types of Cookies may affect your experience on the website. The information automatically collected by Cookies includes your IP address, device and browser information, and login credentials. Session Cookies are automatically deleted after you close your browser; other Cookies are retained for up to 365 days from last use.

10. Cross-border Data Transfers

To bring you Our Services, we operate globally and we will comply with the applicable data protection laws and regulations in your country/territory to collect, use and process your personal data. For example, if you are a resident of the United States, we will process and store your personal data (such as the documents and images you upload) only in the United States. In connection with the purposes described herein, where necessary to provide our services, we may transfer your personal data to countries/territories outside your countries/territories, and we will take appropriate safeguards to ensure that your personal information will remain protected in accordance with this Privacy Policy.
